Office Location: Onsite & Remote

#Business Days: Up to 24 Month

Duration: The duration of the engagement may be for up to a 24-month term. Due to the nature of projects, there may be exceptional circumstances where the total term may be extended beyond 24 months. The 24-month term is anticipated to start with a 6-month initial term followed by an 18-month renewal. Note that the final term structure will be concluded as part of contract/SOW negotiations.

Project Administration Services

Manitoba views Project Administration as the organized coordination and delivery of administrative services that support the effective operation of the Project Management Office. Through the application of appropriate administrative practices, the Project Administrator ensures accurate documentation, efficient office processes, and timely communication across stakeholder groups. The Project Administrator is expected to work efficiently within Manitoba's standard administrative processes to support smooth office operations, accurate documentation, and effective communication across the Project Management Office.

Other responsibilities of a Project Administrator are but not limited to following

Administrative Support and Coordination

  • Provide administrative support to Manitoba staff, consultants, and service providers, ensuring timely communication and organized information flow.
  • Maintain filing systems, administrative records, correspondence, and documentation in accordance with Manitoba standards.
  • Prepare and distribute meeting agendas, minutes, reports, and general administrative documents.
  • Coordinate scheduling activities including meetings, workshops, onboarding sessions, and other administrative events.
  • Support data entry, document updates, and information maintenance within Manitoba systems.
  • Manage calendars, book meeting spaces, and arrange logistics for office activities.
  • Organize and track invoices, receipts, and financial documentation in accordance with Manitoba processes.
  • Maintain administrative tracking tools and logs to support monitoring of expenditures and financial records.
  • Prepare routine administrative summaries and reports as directed by Manitoba management.
  • Maintain asset inventories and support equipment assignment, tracking, and retrieval.
  • Coordinate onboarding and offboarding tasks including equipment distribution and access updates.
  • Support day to day administrative operations of the Project Management Office to ensure efficient workflow.
  • Maintain office supplies, systems, and administrative tools.
  • Assist with internal communications, notices, and administrative updates.
  • Organize and document meetings and training sessions.
  • Ensure administrative records are accurate, up to date, and compliant with Manitoba requirements.

The Services provided to the Chief Justices and the Chief Judge are separate from any Services the resource will provide Manitoba. The resource will be required to understand and acknowledges the separation of powers between the executive and judicial branches of government. The resource also understands and acknowledges the principles of judicial and administrative independence and the confidentiality that is attached to the Services to be provided to the Chief Justices and the Chief Judge. The resource must agree not to share with Manitoba any Judicial Information, as defined in the Canadian Judicial Council (CJC) Model Definition of Judicial Information, dated September 2020, without the prior express consent in writing of the Chief Justices and Chief Judge.

Skill Requirements/Qualifications

A clean criminal record check status will be required at the proponent's expense prior to the successful Service Provider Resource(s) arriving onsite. Maintaining a clean status is required throughout the Proponents contract. An enhanced background check, completed by Manitoba will be required on certain projects due to the confidentiality of the materials shared to the Proponent. If the proponent fails, they must rectify on their own cost and time. A clearance will need to be completed and a non disclosure agreement will be signed for such projects.

The following are minimum qualifications and/or experience for the delivery of the Services.

The Resource must have the following minimum qualifications or experience:

  • Minimum of two (2) years of experience providing administrative support in an office environment
  • Experience supporting senior staff, managers, or teams with administrative coordination
  • Experience maintaining records, documentation, filing systems, and tracking tools
  • Experience coordinating meetings, schedules, logistics, and general office activities
  • Strong organizational skills with the ability to manage multiple tasks concurrently
  • Excellent interpersonal and listening skills
  • Strong attention to detail and accuracy in administrative work
  • Strong critical thinking and problem-solving abilities within administrative processes
  • Strong communication skills, including professional oral and written communication
  • Proficiency with office software, document management tools, and standard administrative systems
