About the Role

The Finance Manager is responsible for QMUNITY’s financial management and accounting systems. This role oversees budgeting, financial reporting, payroll, audits, compliance, grants administration, and financial policy development.

Working closely with the Executive Director, Board Treasurers, external contractors, and program leadership, the Finance Manager plays a key role in supporting the financial stewardship and operational systems of a growing and evolving organization. The role also contributes to organizational planning as QMUNITY prepares to expand into its new permanent community centre.

Core Responsibilities

Financial Management & Oversight

  • Maintains financial records, reporting systems, and accounting processes
  • Oversees bookkeeping, reconciliations, and monthly reporting, and serves as the liaison with QMUNITY’s external bookkeeper
  • Oversees financial operations including payroll, AP/AR, and our corporate credit cards (via Float Financial)
  • Manages QMUNITY’s treasury function, monitoring cash reserves and investments
  • Ensures compliance with organizational policies, charitable regulations, CRA requirements, funder obligations, and the Societies Act
  • Develops and manages organizational and program budgets in collaboration with leadership
  • Monitors financial performance, forecasting, and quarterly budget reviews
  • Reports financial performance to Board and staff
  • Supports donation tracking and financial systems connected to fund development
  • Advises leadership on financial policies, operational systems, and organizational sustainability and maintains internal financial policies and procedures
  • Supports financial planning connected to QMUNITY’s future growth and new building transition

Annual Financial Audit

  • Leads and manages QMUNITY’s annual audit process from start to finish
  • Serves as primary liaison with external auditors and coordinates all audit communications, reconciliations, documentation, and follow-up requests
  • Prepares audit working papers, financial records, supporting documentation, and schedules required for annual audit completion
  • Supports final presentation and submission of audited financial statements to the Board of Directors and AGM

Grants and Reporting

  • Leads financial administration and oversight of grants, contracts, and restricted funding
  • Maintains systems to track reporting deadlines, deliverables, restricted funding allocations, and compliance obligations
  • Coordinates with program and leadership staff to prepare and submit accurate financial reports for funders and contracts
  • Monitors grant spending and identifies budget variances, reporting risks, and compliance concerns
  • Maintains strong systems for funding reconciliation, audit readiness, and financial documentation

Payroll, Benefits & HR Administration

  • Oversees payroll administration and processing for all staff
  • Manages QMUNITY’s payroll and HR systems, including RISE payroll software
  • Administers employee benefits plans, pension enrollment, and related staff supports
  • Maintains employee vacation accruals, leaves, sick time, and related records in accordance with organizational policies and collective agreement requirements
  • Coordinates payroll-related onboarding, offboarding, and employment changes
  • Supports compliance with payroll legislation, remittances, employment standards, and internal policies
  • Supports staffing budgets, position tracking, and workforce planning

Secondary Responsibilities

Organizational Operations & Leadership

  • Collaborates with the Executive Director and leadership team on operational planning and strategic initiatives
  • Provides operational leadership support related to organizational administration and systems
  • Contributes to a collaborative, equity-focused, and community-centered workplace culture
  • Other related duties as required

Ideal Qualifications

  • Diploma, degree, or equivalent experience in accounting, finance, business administration, or a related field
  • Minimum three years of experience in financial management, accounting, payroll, or organizational finance
  • Experience administering payroll, benefits, pension plans, and HR/payroll systems such as RISE or comparable platforms
  • Knowledge of charitable reporting requirements, financial controls, and grant compliance
  • Experience working within unionized environments considered an asset
  • Strong understanding of 2SLGBTQIA+ communities and commitment to QMUNITY’s mission and values

  • First Aid, CPR and ASIST certification is an asset

What We Offer

  • CAD$85,000 to CAD$90,000
