Capital Power Corporation is seeking a highly organized and proactive Legal Assistant based out of Edmonton to join our in-house legal department. In this role, you will have the opportunity to work with a strong, collaborative, and geographically dispersed legal team and contribute to the success of the company. You will provide administrative, organizational, and operational support across a broad range of legal activities, helping ensure the efficient functioning of the corporate legal function.

You will contribute to our team by

  • Providing administrative support across the entire team, including in relation to travel matters and expense claims, managing calendars, coordinating meetings and agendas, compiling and organizing documents, and drafting correspondence.
  • Monitoring Legal department group mailboxes and performing initial triage and routing of incoming communications and requests, including responding as appropriate to routine inquiries from across the business.
  • Receiving, reviewing and properly distributing documents served on Capital Power entities, ensuring timely escalation and tracking.
  • Supporting the legal team in organizing and managing its SharePoint and intranet sites.
  • Driving strong records management practices across the department, in line with company policy.
  • Supporting legal-related budget matters, including spend tracking, budget inquiries, reporting and data management.
  • Coordinating and processing invoicing for all legal expenses across the enterprise and liaising with Finance, Legal, and business stakeholders.
  • Liaising with department vendors/external service providers as required.
  • Providing administrative support to the external counsel management program, including record-keeping, and improving and delivering meaningful program data and KPI’s.
  • Coordinating quarterly and other periodic corporate certification processes.
  • Managing payment of professional and membership fees and subscriptions.
  • Developing and improving legal or administrative processes to improve efficiency for the department.
  • Assisting with event planning and team-building activities for the Legal team, including regular department meetings.
  • Fostering positive working relationships with internal stakeholders across the organization and being an ambassador for the department within the company.
  • Providing administrative support to the corporate paralegal, including an openness to learn and to build a highly collaborative and coordinated approach between these two key roles within the department.

What you will bring to the role

Education

Completed Bachelor’s Degree or Diploma in Business Administration. Education equivalency may be considered.

Experience & Technical Skills

  • 5-7+ years of legal administrative experience.
  • Ideal candidates will have advanced proficiency in Microsoft 365, including a working knowledge of Excel for data organization, tracking and basic analysis, PowerPoint to support strong presentations and communications, and Visio for the maintenance of corporate organizational charts.
  • Strong knowledge of SharePoint as a central document management and intranet tool across the company.
  • Experience with Docusign, Oracle, and Power BI are all considered strong assets.
  • Demonstrated experience contributing to the maturation of legal functions preferred, including development of processes, checklists, and systems/automation to drive efficiency and improve department operations.
  • Strong written and verbal communication skills.
  • Highly organized, with excellent attention to detail.
  • Demonstrated ability to carefully handle highly confidential and sensitive information from across the enterprise, including from Finance, Business Development, and People & Culture, and to act with professionalism and discretion.

Working Conditions

  • Hybrid office/work-from-home position, with in-office component an essential part of the role.
  • This role is situated in Edmonton.
  • Minimal travel to Capital Power facilities or other offices.
  • Requires occasional moving/lifting up to 10 lbs.
