Position Summary

The Junior Accountant is responsible for accurately and efficiently processing cash applications to customer accounts, completing bank reconciliations in a timely manner, and supporting the Accounts Receivable function through strong attention to detail and professional customer communication. This role requires direct correspondence with customers to resolve payment discrepancies, management of multiple customer payment portals, and processing of credit card payments in accordance with company policies and internal controls.

Key Responsibilities

  • Process daily cash receipts and apply payments accurately to customer accounts, including cheques, EFTs, ACH payments, wire transfers, and credit card payments.
  • Review remittance details and customer account information to ensure payments are posted to the correct invoices and accounts.
  • Complete bank reconciliations on a timely basis, investigate outstanding items, and follow up on variances or discrepancies.
  • Correspond directly with customers to resolve payment discrepancies, short payments, unapplied cash, missing remittance details, and other account-related questions.
  • Manage multiple customer portals to retrieve remittances, submit invoices or statements as required, accept payments, and maintain accurate payment records.
  • Accept and process credit card payments while following company procedures and applicable security and confidentiality requirements.
  • Maintain accurate Accounts Receivable records and support clean customer account aging through timely posting and follow-up.
  • Identify and escalate unusual payment issues, recurring discrepancies, or unresolved reconciling items to the appropriate team member or supervisor.
  • Prepare and maintain supporting documentation for cash applications, reconciliations, and customer communications.
  • Assist with month-end close activities related to cash receipts, reconciliations, and Accounts Receivable reporting.
  • Support internal control procedures by ensuring transactions are processed accurately, consistently, and in accordance with company policy.
  • Contribute to process improvements that increase efficiency, accuracy, and visibility within the cash application and reconciliation processes.

Qualifications And Experience

  • Post-secondary education in accounting, finance, business administration, or a related field is preferred.
  • Previous experience in Accounts Receivable, cash applications, bank reconciliations, bookkeeping, or an accounting support role is considered an asset.
  • Strong attention to detail with the ability to process high volumes of transactions accurately and efficiently.
  • Proficiency with Microsoft Excel and experience using accounting or ERP systems.
  • Comfortable navigating multiple customer portals and online payment platforms.
  • Strong written and verbal communication skills with the ability to correspond professionally with customers and internal team members.
  • Ability to investigate discrepancies, identify root causes, and follow through to resolution.
  • Strong organizational and time management skills, with the ability to manage competing priorities and meet recurring deadlines.
  • High level of integrity and discretion when handling confidential customer and financial information.
