At Avanti CPA LLP, we believe great client service starts with strong internal support. We’re looking for a detail-oriented, collaborative Administrator who thrives in a fast-paced environment and takes pride in keeping things running smoothly for both our clients and our team.

We are a growing firm that values long-term talent; for a high performer who excels in this role, there is a strong possibility of a direct pathway into an office management position.

This is a key role that blends client service, communication, and team coordination, with opportunities to lead, support, and contribute to our positive office culture.

What You’ll Be Responsible For

Client & Professional Communication

  • Act as a central point of contact, communicating clearly and professionally with clients, team members, and external partners.
  • Prepare, edit, and finalize correspondence (emails, letters, and documents) with accuracy and attention to detail.
  • Work with third parties such as banks, lawyers, and government agencies as needed.
  • Support the team with timely and thoughtful communication in a deadline-driven environment.

Client Administration

  • Gather and organize client information to support the team’s work.
  • Maintain accurate and up-to-date client records across systems.
  • Set up new client profiles and assist with registrations (GST, PST, WCB, Payroll, etc.).
  • Build positive working relationships with clients to ensure information is complete and deadlines are met.

Office & Workflow Coordination

  • Manage Partner calendars, schedule meetings, and help keep priorities on track.
  • Ensure meetings run smoothly—preparing materials and sharing minutes as needed.

What You Bring (Qualifications)

  • Prior Experience: Previous experience working in an administrative role within an accounting firm, professional services, or a similar corporate office environment is highly valued.
  • Education: Post-secondary schooling or coursework in office administration, business, or bookkeeping is preferred, though a blend of basic experience and practical skills will be considered.
  • Technical Familiarity: Comfortable learning new systems, with exposure to basic tax/accounting terms or administrative processes (like navigating GST, PST, or WCB requirements) considered a strong asset.
  • Core Skills: Exceptional organizational abilities, sharp attention to detail, and a professional, welcoming communication style.

Compensation & Benefits

  • Salary Range: $60,000 – $75,000 per annum, based on experience and education. Your salary will be formally reviewed 6 months after your start date.
  • Overtime: Eligible for pre-approved overtime, which can be taken as banked time off or paid out at time-and-a-half (up to standard firm limits).
  • Paid Time Off: 3 weeks of paid annual vacation to start, plus 12 paid sick days per year (usable for personal illness, medical appointments, or caring for ill family members).
  • Extended Health & Dental: Fully firm-paid premiums (starting the first of the month after 90 days) featuring 100% prescription drug coverage, $350 vision care, and extensive health/dental provisions.
  • Paramedical & Mental Health: Up to $500/year per provider (Massage, Physio, Chiro, Naturopath, etc.) and $1,000/year for mental health practitioners.
  • Wellness Lifestyle Allowance: Access to our Wellness Reimbursement program, covering 75% of approved fitness and wellness expenses up to $1,000 per year.
  • Commuter Perk: The firm will fully fund a dedicated parking space within two blocks of the office, or provide a paid public transit pass in lieu of parking.
