Reporting to the Manager of the GNCH Central Staffing Office, the Clerk IV – Staffing Clerk provides staff scheduling support to multiple programs across Covenant Health. This position utilizes the Infor WFM staff scheduling application and Automated Shift Callout and works within established processes to complete complex and often urgent scheduling tasks within tight timelines in a busy, high-pressure environment. The Staffing Clerk ensures employees are scheduled appropriately and that employee pay data is captured accurately in accordance with Covenant Health policies, procedures, and collective agreement provisions. The successful candidate will demonstrate a strong commitment to providing excellent customer service in a fast-paced environment, with the ability to adapt to frequent interruptions and shifting priorities. Key responsibilities include but are not limited to: Filling pre-booked and short notice shifts resulting from vacation, leaves of absence, illness, and education leave. Anticipating staffing needs and notifying managers of shifts requiring further attention. Entering and maintaining accurate payroll-related data. Preparing and providing scheduling reports, records, and statistical information. Please note: Classifications Under Review.

The Clerk IV provides complex clerical support. The Clerk IV performs these tasks in accordance with established standards, and the Mission, Vision, Values, policies and procedures of Covenant Health. This position is covered by the terms and conditions of the CUPE 41 Collective Agreement.

Required Qualifications

One year related post secondary certificate required. An equivalent combination of education and experience may be considered.

Additional Required Qualifications

Completion of post-secondary education (e.g., diploma in Business or Office Administration, Unit Clerk certificate) is required. Proven experience with ESP/WFM and Automated Shift Callout software is essential. The role requires a strong understanding of collective agreements utilized within Covenant Health (e.g., UNA, CUPE, AUPE, AUNP, HSAA) and related legislation. Advanced proficiency in Microsoft Office applications, including Word, Excel, Access, PowerPoint, Outlook, MS Teams, and general internet applications is required. Excellent written and verbal English communication skills are required and will be assessed. Demonstrated strengths in customer service (in-person, phone, and email), problem-solving, conflict resolution, critical thinking, and interpersonal communication are essential. The successful candidate must be able to work both independently with minimal supervision and collaboratively within a team environment. A high level of attention to detail and accuracy is required, along with strong organizational and prioritization skills to manage competing demands and changing deadlines in a fast-paced environment. Flexibility and adaptability are essential, with the ability to respond effectively to shifting priorities. The ability to build strong working relationships with colleagues, partners, and clients to achieve shared goals is required. An excellent attendance record, reliability, and personal suitability must be demonstrated through employment references.
