We are currently seeking a highly organized and detail-oriented Administrative Assistant to join our team. The successful candidate will play a key role in supporting the daily operations of the office, ensuring administrative processes run smoothly, and serving as a valuable resource to management and support staff.

Key Responsibilities

  • Assist in maintaining a professional, organized, and functional office environment, including setting up office spaces/workstations, monitoring office and common area upkeep, and addressing maintenance concerns.
  • Coordinate building facilities, maintenance requests, and office-related issues, including liaising with building management, contractors, and external service providers as required.
  • Support the firm’s file management, including but not limited to file opening, file closing and records management.
  • Maintain and monitor the firm's limitations system, including: Tracking key dates, limitation periods, and deadlines, updating records and generating reminders and assisting in ensuring compliance with applicable limitation periods and court deadlines.
  • Provide daily backup reception coverage, including: answering incoming calls, taking and forwarding messages, redirecting calls to the appropriate individual, greeting clients and visitors and responding to general inquiries.
  • Perform other duties as assigned.

Qualifications

  • Certificate or diploma in Office Administration, Business Administration, or a related field is considered an asset.
  • Minimum 1-2 years of administrative experience in a professional office environment.
  • Previous law firm experience is considered a strong asset.
  • Strong organizational and time-management skills with the ability to manage multiple priorities.
  • Exceptional attention to detail and accuracy.
  • Strong verbal and written communication skills.
  • Proficiency with Microsoft Office Suite, including Outlook, Word, Excel, and Teams.
  • Ability to work independently while maintaining a collaborative team-oriented approach.
  • Strong problem-solving and customer service skills.
  • Professional, reliable, and committed to maintaining confidentiality.
