Salary range: $47,000 - $52,000 per annum

About The Opportunity

The Ministry and Community Engagement department advances Focus on the Family Canada’s mission by strengthening relationships with churches, denominations, ministry networks, pastors, volunteers, and ministry leaders across Canada. The department promotes Focus Canada’s resources, supports clergy and ministry leaders through care-based initiatives, and oversees retreat ministries that provide renewal, refreshment, and pastoral care.

Under the umbrella of Ministry and Community Engagement, the Kerith Retreats ministry provides focused retreat experiences grounded in biblical principles designed to renew and refresh pastors, ministry couples, and Christian leaders through personalized care, group sessions, spiritual encouragement, hospitality, and a restful retreat environment.

The Ministry & Community Coordinator plays a vital role in supporting the Ministry & Community Engagement department through exceptional administrative, coordination, and operational support. The Ministry & Community Coordinator ensures retreat registrations, volunteer administration, departmental projects, ministry initiatives, and operational systems are delivered accurately, efficiently, and professionally while supporting positive experiences for retreat participants, volunteers, ministry leaders, and internal stakeholders.

The successful candidate is highly organized, detail-oriented, service-minded, and enjoys coordinating multiple priorities while supporting meaningful ministry outcomes.

There may be some travel involved (up to 10% of your work assignment), with occasional evenings and weekends required for ministry events and retrea ts.

What’s the job?

The Ministry & Community Coordinator is accountable for supporting the success of key departmental priorities through the following focus areas:

  • Departmental Administration & Project Coordination (40%)
  • Support the effective execution of departmental projects, ministry initiatives, strategic priorities, and internal operations by ensuring strong administrative organization, coordination, reporting, and follow-through.

Success Looks Like

  • Well-coordinated projects and administrative processes.
  • Project documentation, records, and supporting materials such as tracking of departmental expenses, invoices, purchase requests, and budget information are maintained accurately
  • Effective meeting, schedule, and project coordination.
  • Timely completion of assigned departmental priorities.
  • Retreat Registration & Participant Support (30%)
  • Deliver a positive and seamless participant experience through professional and excellent administration of Ministry Leaders Retreat registrations and participant communications.

Success Looks Like

  • Accurate and timely retreat registrations and participant records (currently on Zanda).
  • Responsive communication with retreat participants.
  • Smooth coordination between participants and retreat centre teams.
  • High participant satisfaction with the registration process.
  • Volunteer Program Administration (20%)
  • Provide administrative leadership and support for Focus Canada's volunteer engagement program (Impact Teams) by maintaining systems, coordinating volunteer activities, and supporting volunteer growth and retention.

Success Looks Like

  • Accurate volunteer records and reporting (currently on TimeCounts ).
  • Timely volunteer communication and support.
  • Effective recruitment, screening, onboarding, and engagement processes.
  • Strong volunteer participation and retention.
  • Ministry Initiatives and Event Support (10%) Support conferences, ministry events, church engagement activities, sponsored events, and departmental initiatives through planning, logistics coordination, administration, and follow-up.

Success Looks Like

  • Well-organized ministry events and initiatives.
  • Effective stakeholder communication and coordination.
  • Timely completion of event administration and reporting.

About You

  • A deep commitment to the mission, vision, and values of Focus on the Family Canada.
  • Post-secondary education in business administration, office administration, event management, nonprofit administration, communications, ministry, or a related field .
  • 3+ years of proven experience in administration, program coordination, events and ministry support in a multitasking environment .
  • Experience coordinating multiple projects, deadlines, and stakeholders simultaneously.
  • Experience maintaining databases such as volunteer management systems, records, and operational systems.
  • Experience supporting volunteer programs, events, registrations, or participant services is an asset.
  • Experience working within a ministry, church, nonprofit, or mission-driven environment is preferred.
  • Experience using Microsoft Office applications, databases, registration systems, or volunteer management platforms
  • Desire to empower others and spiritually uphold those volunteering their skills and abilities to the ministry.
  • Experience in ministry or nonprofit event environments is an asset.
  • Volunteer coordination experience is an asset.
  • Willingness to work some evenings and weekends as required for event promotion and execution.
  • Must hold a valid driver’s license.
  • Team player, willing to be flexible during busy season to succeed as a team.
