Opportunity
MacEwan University is seeking an Administrative Assistant, Residence and Guest Services for a full-time continuing opportunity with our Residence and Guest Services department.
Reporting to the Senior Manager, Residence and Guest Services, you will provide administrative and operational support to the Senior Manager and the Residence and Guest Services department. This includes meeting and event coordination, maintaining effective administrative processes and practices, assisting with document preparation for various human resources processes, credit card reconciliation, maintaining and coordinating department assets, inventory management and records management. You will also be responsible for coordinating the Residence building’s mail/ parcel management system and assisting with other operational support functions.
Key responsibilities include:
- Responding to customer, university, supplier and stakeholder calls regarding services, events or operations by providing or accepting information or referring to the appropriate individual/area;
- Formatting, proofreading and editing documents to ensure completeness, accuracy, appropriateness and alignment with university and departmental policies, procedures and standards;
- Creating and updating department forms/templates and digital screen content across Residence;
- Auditing agreements and forms in StarRez and ensuring they are signed and compliant with Residential Tenancies Act (RTA);
- Composing routine correspondence for the department such as contracts, memos, letters, posters, eviction notices, etc;
- Providing meeting support which includes scheduling department team meetings, drafting agendas, coordinating meeting logistics, recording and distributing minutes;
- Providing training sessions and event coordination support;
- Coordinating and booking travel, professional development courses, training, etc. as required;
- Maintaining and gathering data for various purposes as required and placing data into presentations, documents and/or reports;
- Assisting with preparation of documentation, recruitment and onboarding/offboarding to support human resources processes;
- Assisting Housing with residence suite inspections and cleanliness checks, pest control communications;
- Facilitating department asset management, inventory management and related audits, as applicable;
- Coordinating the Residence building’s mail/parcel management including coordinating the parcel locker system and auditing the 40,000+ parcels delivered annually;
- Working with outside vendors including Canada Post, Purolator and Amazon to ensure parcels are logged correctly and initiating lost parcel processes as required;
- Assisting the department with P-card reconciliation and ensuring the correct coding and documentation is used;
- Liaising with suppliers, departments and external vendors to obtain quotes when requested; and
- Coordinating, updating and maintaining financial and budgeting processes.

- Strong verbal, written and interpersonal communication skills;
- The ability to work with confidential information and to exercise judgement and discretion;
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint, Teams), Adobe Professional and SharePoint; and
- Knowledge and understanding of the Residential Tenancies Act (RTA).
Qualifications
- A minimum of a post-secondary diploma in office administration or related field.
- A minimum of 3 years of well-rounded administrative support experience, including meeting coordination, financial coordination, records management and communications support.
- Experience working in a post-secondary environment and/or a student residence would be considered an asset.
- Knowledge of StarRez and Canva would be considered assets.
- An equivalent combination of education and experience may be considered.
