The Legal Assistant provides essential administrative support to the Wills & Estates team within the Corporate Department. This role supports both estate planning, and estate administration matters while ensuring that administrative procedures are carried out effectively and maintaining a high standard of quality and client service. Support with corporate transactions may also be required.

Key Responsibilities

  • Prepare legal correspondence and documentation, including proofreading, editing and quality assurance.
  • Draft Wills, Powers of Attorney and other documentation relating to estate planning and estate administration.
  • Communicate professionally with clients and respond to client inquiries, ensuring timely follow-up and exceptional client service.
  • Coordinate communication internally and externally via mail, email and telephone.
  • Manage and maintain client files.
  • Enter and maintain accurate daily dockets and assist with billing and account processing.
  • Maintain the firm’s Wills Vault Safekeeping system.
  • Organize and coordinate meetings, calendars and other administrative activities as required.
  • Arrange travel and meal logistics for meetings and events, as needed.
  • Assist with corporate transactions as required.
  • Assist with various other projects and provide support to other departments as required

Qualifications

  • Education – A Legal or Law Clerk diploma from a recognized post-secondary institution, or a suitable combination of education and relevant experience.
  • Experience – At least two (2) years of experience in a law office setting.
  • Technical Proficiency – Strong working knowledge of Microsoft 365 applications, including Outlook, Word and Excel. Experience with estate administration or Wills preparation software would be considered an asset.
  • Communication Skills – Excellent verbal and written communication skills, with the ability to communicate clearly and professionally.
  • Interpersonal Skills – Demonstrated ability to build strong working relationships, with a professional and polished presentation.

This is a current vacancy; salary range $50,000 – $60,000.
