Position Summary

The Administrative Support role in Patient and Family Collaborative Support Services (PFCSS) provides support to the Manager and Department staff and volunteers. This includes the provision of administrative support to the intake scheduling and operational functions of the PFCSS. On a monthly basis this position collects statistics e.g. number of clients and visitors seen compiles and distributes as directed by the Manager. With the Manager’s approval the Administrative Support role coordinates purchases of specialty supplies for the program.

Finally this position is responsible for receiving and greeting patients/clients in addition to their regular administrative duties.

Qualifications

  • Two-year post secondary diploma in medical office administration or demonstrated equivalency of education and/or experience required
  • Dovetale Front Desk and Superuser training preferred
  • Intermediate skill level in MsWord MsExcel MsPowerpoint and MSAccess and internet
  • Clerical testing may be required as part of the selection process
  • Minimum six months previous experience providing administrative support and interacting with patients families and staff in a busy healthcare setting
  • Proficiency in data entry and the use of specialized computer applications: scheduling software etc.
  • Advanced keyboarding speed of 65 wpm
  • Ability to communicate in a sensitive and non-judgmental manner with clients and families medical/nursing/technical staff and community based organizations
  • Maintain excellent interpersonal relationships while handling multiple tasks frequent interruptions and stressful situations
  • Good organizational skills with ability to set own priorities and work with minimal supervision
  • Personal lived experience with mental illness and/or addiction and/or family experience is seen as an asset

Responsibilities

Some responsibilities include the following:

  • Provides reception and coverage handling incoming phone calls enquiries and visitors or making referrals where appropriate
  • Greets clients visitors and volunteers and maintains visitor flow through the public and inpatient doors to the dept ensuring entrance and exit through correct door
  • Provides administrative support in typing routine correspondence filing scheduling sorting/distributing mail faxing photocopying confirming client appointments cancelling and rescheduling coordinating meetings and produces presentation materials
  • Maintains departmental schedule of volunteers including but not limited to the Mental Health and Wellness Resource Centre Peer Support and Family Advisory Councils
  • Arranges and/or attends meetings records transcribes and distribute minutes and agenda items as needed in a timely manner
  • Ensures all office supplies required by the department are adequately stocked and re-ordered in a timely manner
  • Meets deadlines in assisting with special projects surveys administrative reports presentation materials arranging ad hoc meetings and assists with other activities as assigned by the PFCSS Manager
  • Other duties as assigned
