The Employee and Labour Relations in the People & Culture (HR) is currently seeking a Full-time Temporary Relief Advisor, Immigration Services for approximately 12 months.

This role is part of Labour Relations under the Contracts and Immigration portfolio. Contracts and Immigration Services is responsible for developing approaches for the university that link organizational goals to a human resources strategy.

As a member of the Academic Contracts and Immigration Services team, this position reports to the Manager, Academic Contracts and Immigration Services. The Advisor, Immigration Services is responsible for supporting the immigration processes for academic staff, postdoctoral scholars, other categories of employees, and international visitors. The Advisor is responsible for leading the team's continuous improvement initiatives to streamline internal processes and increase efficiency and effectiveness.

The Advisor is required to employ a great deal of independent and discretionary decision-making as part of the role. The job is demanding and peak periods can be highly stressful with multiple priorities and simultaneous deadlines. Success in this role requires accuracy, sound judgment, attention to detail, excellent organizational skills, strong communications skills (written and verbal) and strong knowledge.

Summary of Key Responsibilities (job functions include but are not limited to):

Immigration Services

  • Responsible for the coordination of the centralized International Visitor Process, liaising with Host Departments, Research Security, and UService.
  • Maintains Immigration Tracking System for all staff groups.
  • Performs auditing of Labour Market Impact Assessment (LMIA) files and recruitment documents pertaining to all international hires.
  • Verifies work permits/study permits and other immigration documents and notifies Immigration Consultants of potential inconsistencies.
  • Creates, reviews and disseminates a variety of reports, as required.
  • Triages incoming e-mail inquiries and acts as a first responder for all matters within own level of expertise; assists Immigration Consultants with preliminary assessment of inquiries and gathers all required information in support of further analysis and solutioning.
  • Maintains immigration e-filing systems and ensures the retention of records in accordance with IRCC compliance rules.
  • Provides support to Immigration Consultants with the preparation of immigration forms by exercising high level of accuracy and attention to detail.
  • Ensures accurate completion and submission of information through IRCC Employer Portal in support of LMIA-exempt work permits.
  • Ensures accuracy and completeness of client correspondence, including individualized instructions.
  • Prepares Verification of Employment Letters for employees and former employees of the University of Calgary who are in the process of applying for permanent residence in Canada.

Communication & Projects

  • Delivers exemplary customer service while maintaining positive, problem-solving relationships with colleagues, employees and departments.
  • Handles requests for information using tact and diplomacy when dealing with all employee groups.
  • Continuously monitors the administrative processes for the team, and where required, takes the initiative to streamline and re-engineer the processes to increase efficiency and effectiveness.
  • Provides continuous support to the Manager, Academic Contracts & Immigration Service.
  • Participates in the assessment and documentation of business processes, including compiling related training/reference materials and forms.
  • Liaises with the People & Culture website administrator to ensure all updates to the Academic Contracts & Immigration Services website are made in a timely manner.

Qualifications / Requirements

  • Post-secondary education in human resources, business administration or a related field required.
  • A minimum of 2 years HR administration or immigration experience.
  • A combination of education and experience related to the position may be considered.
  • Previous experience in a unionized environment would be considered an asset.
  • Excellent technical skills with proficiency in Microsoft Office, PeopleSoft and SharePoint.
  • High attention to detail and logical problem-solving, time management and analytical skills.
  • Strong written and verbal communication and customer service skills, tact and diplomacy.
  • Ability to retain knowledge of a variety of informational resources and requirements.
  • Ability to work independently and as part of a team.
