Safety & Data Coordinator

Northumberland Ferries Limited (NFL) and Bay Ferries Limited (BFL) are seeking a Safety & Data Coordinator to join our Safety & Security team. This is an exciting opportunity to play a key role in supporting safety management, regulatory compliance, and operational excellence across our vessel and terminal operations while contributing to the transformation of the organization's digital safety and data systems.

THE ROLE
You will report to the Deputy Director of Safety & Security
Key Responsibilities
Safety & Security Systems
- Receive, review, categorize, and process safety and security event reports
- Manage the full lifecycle of event reports, including corrective actions and stakeholder communications
- Maintain and transition the event reporting database from Excel to automated digital solutions
- Monitor timelines, target dates, and follow up to ensure deadlines are met
- Support process owners in the use of reporting systems
- Assist with safety KPIs, analytics, and record management (e.g., SharePoint libraries)
- Demonstrate a commitment to maintaining a just-cause safety culture
Management System & Audit Support
- Support the effectiveness of safety and security management systems
- Assist process owners with documentation related to corrective/preventive actions and audit findings
- Coordinate audit programs, including scheduling, recordkeeping, and follow-up actions
- Support audit teams during vessel and terminal audits and site visits
- Assist with audit reporting and tracking findings to closure
- Provide support to environmental reporting and audit activities
General Administrative Support
- Support safety initiatives such as audits, learning fairs, exercises, and training materials
- Schedule meetings, prepare agendas, record minutes, and maintain action and decision logs
- Assist with project schedules, roadmaps, progress reports, and improvement plans
- Monitor safety inboxes and calendars
- Track and support completion of safety action plans
- Liaise with internal and external stakeholders, including contractors
- Coordinate workshops and maintain accurate project trackers, logs, and documentation
Data Management, Workflows & Analytics
- Support the transition, configuration, implementation, management and support of digital safety platforms
- Support, build, maintain and use M365 tools including Teams, Sharepoint, distribution lists, Excel workbooks, databases, and M365 workflows (e.g., Power Automate)
- Assist with data capture, KPI and trend analysis, and Power BI dashboard development
- Support other departments (e.g., Emergency Planning & Response, People & Culture) with safety-related data and workflows[AS1]
What You Bring To The Team
- Proficiency in Microsoft 365, including Excel, SharePoint, and Teams
- Experience with databases, data management, and data analysis
- Experience with data visualization and reporting tools (e.g., Power BI)
- Strong organizational, communication, and coordination skills
- Ability to manage sensitive information with confidentiality and discretion
- Experience tracking issues, risks, actions, and changes in structured environments
- Understanding of data governance, privacy, and information safeguarding
Assets
- Post-secondary degree or diploma in Business, Administration, OSH or an IT-related discipline, or certification in health, safety, security, environment, or a related field
- Experience in digital transformation, metadata management, or enterprise application administration
- Background in incident investigation or root cause analysis considered an asset
WORKING CONDITIONS
Normal office environment in one of the company’s office locations. This role will require visits to vessels, terminals, and other company locations on an as needed basis. Occasional work outside of regular business hours to address urgent system/platform matters, including periodic overnight travel.
