The Project Coordinator supports the estimating and project delivery teams by assisting with cost estimating, bid preparation, and project coordination for commercial mechanical construction (piping systems, HVAC, plumbing, refrigeration including installation of mechanical equipment). This role is ideal for a developing professional looking to build a career in estimating and project management within a fast-paced mechanical and construction environment.

Key Responsibilities:

  • Prepare and support detailed cost estimates for mechanical projects, including labour, materials, equipment, and subcontractor pricing; perform quantity take-offs and analyze drawings and specifications to define project scope
  • Assist with bid and tender preparation, including document review, scope breakdown, pricing summaries, and ensuring submissions meet all requirements and deadlines
  • Solicit, evaluate, and track supplier and subcontractor quotations; maintain estimating platforms, unit rates, and historical cost data
  • Coordinate project activities from award through closeout, ensuring schedules, deliverables, and project milestones are achieved
  • Prepare and maintain project documentation, including contracts, subcontracts, submittals, RFIs, change orders, permits, and closeout packages
  • Support Project Managers with budgeting, cost tracking, progress reporting, and monthly project forecasting
  • Coordinate procurement activities, including material take-offs, purchase orders, vendor communications, and equipment deliveries
  • Monitor project schedules and assist with resource planning to support mechanical and general contracting construction activities
  • Track and maintain compliance documentation, including safety records, quality control requirements, certifications, and regulatory submissions
  • Assist with project invoicing, progress billings, and verification of subcontractor and supplier invoices
  • Participate in tender and project meetings, prepare meeting minutes, and track action items to ensure follow-through and accountability
  • Support field operations by coordinating manpower, site access requirements, inspections, and project startup and commissioning activities
  • Review training compliance and obtain approval from managers to coordinate and schedule training (ie. Ground disturbance, first aid, fall arrest, etc.)
  • Prepare shop drawings, submittal packages, design details, and assist with engineering calculations in coordination with the project team
  • Support project closeout activities, including punch lists, as-built drawings, O&M manuals, warranty tracking, and turnover documentation to service and operations teams
  • Track and follow up on aged receivables
  • Specific to DND project requirements, support the administration of all required company and employee security clearances, maintaining records, tracking status, and handling documentation with a level of confidentiality
  • Perform other related duties consistent with the role

-Required:

  • 2-5 years of experience in construction, mechanical systems, or estimating (co-op/internship considered)
  • Understanding of HVAC, plumbing, and mechanical systems is an asset
  • Familiarity with blueprints, specifications, and construction documents
  • Proficiency in Microsoft Excel and general computer skills

-Preferred:

  • Journeyperson Plumber/ Gasfitter ticket or equivalent trade with estimating and coordination experience
  • Self motivated and capable of working independently
  • Strong team player who collaborates with project team and field personnel, clients, subcontractors and vendors
  • Ability to prioritize competing demands and work in fast-paced environments

Work Environment:

  • Physical ability to lift up to 50lb
  • Primarily sedentary office based role
  • Occasional travel to project sites, which may include remote or rural locations
  • Fast-paced environment with competing deadlines during bid periods
  • May require extended working hours during tender closings
