Job Description


In office position

Your contribution in This Role:

  • First point of contact at reception, welcoming clients and visitors in professional and courteous manner
  • Direct incomings calls and office phone lines;
  • Carry out administrative duties including receiving and forwarding mail;
  • Manage budget for Montreal office administration;
  • Responsible for tracking weekly timesheets for all North American employees and reconciling time off between the ERP (D365) and HRIS system;
  • Support finance and purchase teams with their administrative tasks;
  • Make travel arrangements such as airfare and accommodations;
  • Complete expense reports for the VPs;
  • Make conference room reservations for internal and external meetings, coordinate catering and maintain conference rooms;
  • Order office, kitchen and food supplies;
  • Accompany HR with onboarding of new employees;
  • Supervise the maintenance clerk;
  • Coordinate and plan company social events, such as the Christmas Party, etc.


Qualifications


The ideal candidate:

  • College or high school education
  • Minimum of 2 years' experience in office administration
  • Excellent verbal and written communication abilities in both French and English
  • Proficient in Microsoft Office Suites – Excel
  • Experience in navigation and using various systems (D365 an asset)
  • Strong organizational and time management skills
  • Show courtesy, politeness and a professional positive attitude towards people
  • Manage priorities as they come from different departments
  • Sense of discretion and professionalism
  • Problem-solving skills with impeccable multi-tasking abilities and to think quickly
  • Provide creative solutions for work related problems
